Create a price file to upload to the Price Information Management System.
Populate the file with your stock items and pricing information
Introduction
Suppliers can download a template excel spreadsheet file that can be used to create a file of Stock Item prices.
This spreadsheet can be populated with your Stock items and pricing information and uploaded to the Lentune Price File Database for your Lentune Wholesaler customer who will then have access to the latest prices to be used for Sales Orders, Quotes and Purchase Orders.

TIP: Stock Items can be updated from PIMS to your Lentune database if there is a match between either the Manufacturer Marking field or the Barcode field your PIMs download and the Stock Item in your Lentune database. |

Export Existing Stock
As the Supplier, you are able to export all your existing stock records from the Lentune price File.
On the Home screen:
- Click Supplier Stock Import.
- Click Pending Stock Batches.
- Double click any batch name from the list. If you do not have a batch appearing, you can Create a New Batch as below.
Note: The export will include all your stock items, not only those from this batch.
On the Pending Stock Batch screen:
- Click Actions.
- Click Export existing stock.
This will create an excel spreadsheet with all your stock items from the Price File.
Download a template
On the Home screen:
- Click Supplier Stock Import.
- Click Pending Stock Batches.
On the Pending Stock Batch screen:
- Click Create New.
On the Create Stock Pricing Batch screen:
- Your Supplier name should appear in the Supplier Account field.
- Code: The Code for this batch must be unique. The system assigns a timestamp. You can add to that to create a more meaningful code if you wish.
- Description: The Description is assigned by the system.
- Effective Date: The Effective date should be 30 days or more in advance of today's date.
- Expiry Date: This can be blank unless there is a specified date after which this file should not be used.
- Click Save.
On the Pending Stock Batch screen:
- Click Actions.
- Click Download Import Template.
This will create a blank template file in excel format.
Populate the file with your stock items and pricing information
The blank template file has three rows.
Row 1: Header name for the column.
Row 2: Explanation of this field.
Row 3: Whether this column is Mandatory, Recommended or Optional. (Some are marked Mandatory if applicable, e.g. Price breaks.)
Note: Starting at Column T, you can use up to 9 price quantity breaks, each with a column for Minimum Order Quantity, Discount Percent and Nett Buy Price.
Even though these columns are marked as Mandatory, if you are not using price breaks, you do not need to populate them all.
Field Lengths
Generally, text fields have a character limit of 255, e.g. Description, except the following:
These fields have a limit of 70 characters:

- SupplierStockCode (recommended 50 characters)
- SupplierCategory
- SupplierSubCategory
- SupplierPackSizeOptions
Notes about Fields
In order for the file to import, these columns cannot be left blank:
Rebate Code: If there are blank or invalid rebate codes, your Wholesaler administrator can set up a rule to ignore the Rebate Code.
Stock Group Code: If none, then populate the column in the excel spreadsheet with undefined.
Discount Group Code: If none, then populate the column in the excel spreadsheet with undefined.
Upload a new Price File
When you have added your stock items and pricing information to the spreadsheet, you can import it back to the Lentune Price File Database.

If you have not previously created a blank template for this particular file, you will need to create the batch.
- Go to the Home screen.
- Click Click here to upload a new price file.
In the Create Stock Pricing Batch screen:
- Supplier: Your Supplier name should appear in the Supplier Account field.
- Code: The Code for this batch must be unique. The system assigns a timestamp. You can add to that to create a more meaningful code if you wish.
- Description: The Description is assigned by the system.
- Effective Date: The Effective date should be 30 days or more in advance of today's date.
- Expiry Date: This can be blank unless there is a specified date after which this file should not be used.
- Click Save.
This takes you to the Pending Stock Batch screen. (Note: You can also access this screen from the menu at the top right Supplier Stock Import > Pending Stock Batches.)
OR:
2. If you have already created the batch when you downloaded a blank template
- Go to the Home screen.
- Click Or click here to search for an existing file.
You could also access the import this way:
- Click Supplier Stock Import.
- Click Pending Stock Batches.
Accessing by either method takes you to the Pending Stock Batch Search screen.
- Double click the batch name that you wish to import.
- Click Import.
In the Upload screen:
- Click Select File, or Drop your file to the file field.
- Click UPLOAD, or the Up arrow beside the file name to upload the file to the Lentune Price File Database.
Now you can see the Supplier, Batch Code, Description and Effective date. The Stock items are displayed in the lower part of the screen. If this looks correct:
- Click Submit.
When this process has been completed, the Wholesaler Administrator will be able to Approve this file.
Then the prices will be synched to your Wholesaler's main Lentune database. This is usually run overnight.
