You can upload one or multiple Stock Images to your PIMS system.
To do this, create a new Pending Stock Batch and Export an excel file. Then edit that file to add the Image file names for each of the selected Stock Items, import the Image file/s, and then re-import the excel file to attach the images to the Stock items.
You can have one image per Stock item and you will need to store the images somewhere where you can easily access a URL for them, which you can then put in your file.
The Stock image for any item is then available for you to view in PIMS, and for your customers to view on the Customer Portal in the Supplier Stock List.
1. Create a Pending Stock Batch
- Start at Supplier Stock Import > Pending Stock Batches.
- Click Create New and select the Supplier Account and Effective Date and click Save.
- Stay on this screen for the next step.
2. Create your excel spreadsheet of required Stock Items
On the Actions tab, you can see the Supplier Account you have created the Pending Batch for. If not, re-select the Pending batch and double click into it.
- Click either Download Import template to create a blank file to populate, or Export Existing Stock to export all stock items.
- Now edit the resulting spreadsheet to add the image file name in the column headed Image Files (Column S) for each stock item line that you wish to update. It should look something like this example:

- You can also remove any item lines that you do not require to re-import.
- Remain in this screen.
- You can also link directly to an image URL by pasting the link in column R (Link to image)
3. Import Images
- Remaining in the same Pending Stock Batch screen, you are now ready to upload and import your image file/s. If you have multiple images, you can import them together in a zip file. Your excel file must contain the individual image file names for each stock item line.
- Click Import images and select your file.
- Click Upload. When this has completed, click Close.
4. Import the Stock File
- Remaining in the same Pending Stock Batch screen, click Import.
- Select your excel file that has the image file names populated in it and click Upload.
- If you wish to check if the upload has completed successfully, you can click a stock item and go to the Image tab to view the image.
- Now click Submit, then Approve.
To double check, you can now go to Stock Search, select one of the Stock Items you have edited, then click on the Image tab to view the image.
View Stock Image in the Customer Portal
When your customer logs in to the Customer Portal, they can view the stock image from the Supplier Stock List screen.
- They can access this from the Customer Portal window by clicking Stock on the left hand side menu to display the Stock list.
- Then click the Picture icon on the right hand side of the line for the Stock item that they wish to view.
If there's no image available for a particular item, an onscreen message will advise No image is available for this item.
Using Image URLS
If you use an image URL rather than importing a file, you can put a link directly to the image in column R 'Link to image' when importing your stock file in the pending stock batch.
Can I Use Images Stored In Google Drive?
Yes, you can but the format needs to be tweaked. It won't be able to reference Google Drive directly. Your google drive folder will have a bunch of image files in it. Click on the one you want to use. At the top right of the screen there will be 3 dots. Click those and select 'Open in new window'. This will open the image file in a new tab within Chrome. There will be a long number in the middle which is a unique ID for that image;

In your file you need to reformat the URL like this:
https://drive.google.com/thumbnail?id=1vFJvHpvtvjQ1xk6qzCpL7RjsdN_4k9nfsZ7_&sz=w1000
So for each image you want to upload, you need to get that unique number and paste it in to the ID part of that URL. The part at the end that says &sz=w1000 is controlling the size of the image.
An image uploaded in this format will display successfully. If you use the original format, it won't be able to be previewed.
