Import the Sdoc and Data Sheet URL for a Stock Item in your PIMS system.
Introduction
You can update the Sdoc (Supplier Declaration of Conformity) and the Data Sheet url for a Stock Item in PIMS. This can be done for any Stock item. You can import a PDF and link to that or you can reference a web URL where the documentation is stored.
The easiest way to do this in bulk is through a pending stock batch. First, export the existing stock spreadsheet so you can either edit the existing stock or add new items. Then update the columns for Link To Sdoc and Link To Data Sheet, then save and reimport the spreadsheet.
Export and Edit the Spreadsheet
- Go to PIMS > Supplier Stock Import > Pending Stock Batches.
- Select Actions>Export existing stock
This will give you a spreadsheet with any existing stock for that supplier. You can then edit the existing items and/or add new ones.
- Open the spreadsheet and edit these fields:
- Link To Sdoc: Enter the name of the file required. If it's a PDF, enter the name of the file. If it's a URL add the address. NOTE: Web URLs must begin with https:// If you just start with www it won't work.
- Link To Data Sheet: Enter the name of the file required. If it's a PDF, enter the name of the file. If it's a URL add the address. NOTE: Web URLs must begin with https:// If you just start with www it won't work.
-
Save your file then import it in the pending stock batch
- Now Import the Files, following the instructions below, if you're uploading a PDF.
Import the Files
To upload your PDF:
-
Click Import support docs in the pending stock batch.
In the Upload window:
- Select or drag and drop the file.
- Click Upload.
You will see a message Upload complete.
You can now open the Edit Stock item window and see that the file names have been imported and converted to a URL which can be opened.
