Import / Export Stock Groups, Discount Groups & Stock Categories

You can import and export details of Stock Groups, Discount Groups and Stock Categories.

You need the Security Role of Stock Group Import Export Maintenance to enable access for these functions.

Note: You cannot use these options if your database is set up to use PIMS, i.e. there is a URL in the Stock Manager field for Pims api url.

 

When you perform a file import, a new file is also generated. If any errors were detected in the data to import, such as incorrect character, this will be recorded in this export file so you can see what needs to be corrected.

NOTE: There is no warning if the import process is not successful - you must check the generated file for errors.

 

 

Stock Groups

The Export / Import options for Stock Groups are located on the Stock > Stock Groups menu.

  • Click the More button and select Export stock group, or;
  • Select Import stock group and browse to locate your file to import.

The fields to import are:

Field: Field description:  
OID Identifier Leave blank for new records.
Active TRUE / FALSE Blank is imported as False.
Code Stock Code Required. Alpha chars must be upper case.
Description Stock Description Required (Character limit is 255)
StockCategoryCode Category Code Required.

 

 

Discount Groups

The Export / Import options for Discount Groups are located on the Stock >Discount Groups menu.

  • Click the More button and select Export discount group, or;
  • Select Import discount group and browse to locate your file to import.

The fields to import are:

Field: Field Description:  
OID Identifier Leave blank for new records.
Active TRUE / FALSE Blank is imported as False.
Code Discount Group Code Required. Alpha chars must be upper case.
Description Discount Group Description Required.
ExpectedPurchaseLowerMargin % for expected lower margin - purchasing Optional.
ExpectedPurchaseUpperMargin % for expected upper margin - purchasing Optional.
ExpectedPurchaseMarginSpread % spread for expected margin - purchasing Optional.
DiscountGroupStockItemIssue (Export only. This field is ticked when a Stock Item in this Discount Group has a margin less than the Expected Purchase Lower Margin. It is set automatically by the system when applicable.) Exclude from your import file. Optional.

 

 

 

Stock Categories

The Export / Import options for Stock Categories are located on the Stock > Stock Categories menu.

  • Click the More button and select Export stock category, or;
  • Select Import stock category and browse to locate your file to import.

The fields to import for Stock Categories are:

 

Field: Field Description:  
OID Identifier. Leave blank for new records.
Active TRUE / FALSE Blank is imported as False.
Code Stock Category Code Required. Alpha chars must be upper case.
Description Stock Category Description Required.
OverridePurchasesGeneralLedgerAccountCode Used where an override GL code is required. Optional.
OverrideSalesGeneralLedgerAccountCode Used where an override GL code is required. Optional.
OverrideLowMarginPopupThreshold %. Used where an override margin warning is required. Optional.
