Automated or manual SMS messages to your customers.
When you order in goods for a customer, you can set up automated text messaging to advise them when these goods arrive and have been received in.
The process would typically be that a Sales Order is created for your customer. If the item is not in stock, a back order is created, and this generates a Purchase Order. The items arrive at your warehouse and are received in, which creates an alert to the person who is responsible for the Sales Order. Then one of the below options will occur:
- If you have set up a person to be notified for the customer, then a text message will be sent automatically and your alert will advise this.
- If you have not set up a person to be notified, you can add the mobile number for the text message in the Sales Order > Details tab, as long as this is done before the goods are received in.
Note: You do not need to add the details on the Sales Order if the person to be notified has been set up on the Receivable Account. A standard message will be sent.
- If there is no person set up and no mobile number to notify on the Receivable Account or the Sales Order, then an alert is created that will advise your staff member who is responsible for the Sales Order when the goods have been received in, so they can then advise the customer.

Add a Person to auto-text in the Receivable Account
- In the Receivable Account, click the Options tab.
- Now in the Sales order options section, select or add a person in the Person to auto text when goods received in field. The person will need to have a mobile number entered. You can add a new contact person for this Receivable by clicking the plus icon above that field.
When the goods are received in for a Sales Order for this customer, an SMS message will be sent automatically, and an alert will advise you that this has occurred.
Add Person to auto text and add a message in the Sales Order
In the Sales Order for a customer, you can add a person to auto-text and a message that will be sent when their order is received in.
- In the Sales Order for your customer, click on the Details tab and scroll to the foot of the page.
- Enter the required details in the Mobile to text when goods received in and Text message when goods received in fields, and click Save.
When the goods are received in for a Sales Order for this customer, an SMS message will be sent automatically. The message will advise One or more items ordered on S/O-12345 for ABC Customer have arrived. Additionally, an alert will advise you that this has occurred.
Manually advise customer that goods have arrived
If you have not set up a person to auto text by either of the options above, then when their goods order is received in, you will receive an alert to advise that the goods have arrived.
- You can then click on Send text update to go to the New Text SMS screen to send a message to your customer.
- Then in the New Text SMS screen, you can select or add a Person, select an Account or add mobile numbers to send a message to send to advise that the goods have arrived and can be collected.
- Click Send to send the message.
