You can set Receivable Accounts that have exceeded their credit limit to have their Account Stopped.
Check the Credit Limit for a Receivable Account
Introduction
Where any Receivable Account has a Credit Limit set, you can run a scheduled task to check if they have exceeded their credit limit and put a Stop on their Account.
This Scheduled Task checks the Credit limit for all Receivable Accounts that have a credit limit set and will update the Account Stopped field for any that are over their limit.
You could also manually set an individual Receivable Account to Stopped.
Check or set a Credit Limit for a Receivable Account
To set or check the Credit Limit for any Receivable Account:
- Start at Receivables > Receivable Accounts and select the Receivable Account you want to check.
- Go to the Credit / financial details.
- Credit limit: Add or edit the credit limit value for the Receivable Account in the Financial section
- Click Save and close.
You can set an account to be automatically stopped if the credit limit is exceeded. If this is not ticked and the account exceeds the credit limit, an order can be placed and a warning will appear to advise the limit is being exceeded but it will also give you the option to carry on regardless if you choose.
If the setting is applied, by ticking the checkbox, it will stop the order from proceeding.
It's important to note that the account will only be stopped after the limit is first exceeded. This means that if the limit is $10,000 and a customer has a balance of $9999, it will allow an order to be placed regardless of the dollar value of that order. It won't restrict them to only placing a $1 order. So an order could still be placed for $5000 and that would be allowed. The account won't be stopped until after an order first takes it over the limit. After that order is placed and the limit is exceeded, then the stop will be applied.
You can also manually set a selected Receivable Account to Stopped in this screen:
- Account Stopped: Click Yes.
- Click Save and Close.
Scheduled Task to Activate the Account Stopped flag
To activate the Stopped Account for all Receivable Accounts that are over their credit limit, you can set up a Scheduled Task called End Of Day Set Over Credit Limit Account To Stopped.
Refer to Create a Scheduled Task.
Now when this task runs, any Receivable Account that has exceeded their credit limit will have their Account Stopped.
Set an Account back to Not Stopped
When you want to change a stopped Receivable Account back to Not Stopped, you can update this manually.
- Start at Receivables > Receivable Accounts and select the Receivable Account you want to update.
- Go to the Credit / financial details tab Details section.
- Account Stopped: This will be set to Yes. Click No to Unstop the Account.
- Click Save and close.
