You can set up a Customer as a User for the Lentune Mobile and Customer Portal where they can access their own data in your Lentune system.
Allow The User Access To The Portal
Introduction
You can allow a Customer to access the Lentune Customer Portal by setting them up as a User in your system. This allows them access to their own Quotes, Sales Orders, Invoices and Statements.
The person should be added as a CRM Person first, then you can set them up as a Lentune User. The reason for this is that some functionality will work better when the User is linked to a Person.

Add Person as CRM User

Start at CRM > People.

Click New contact person.
In the Create New Contact (Person) screen:
- Email: Add the email address for the new person.
- First name: Add the First name.
- Last name: Add the Last name.
- Add any other details you wish.
- Click Add & close.
This takes you to the Details screen.
Here you can add any further optional details, such as Title, Salutation etc, that you would like to record.
- Click Save and close.
Set up a User
To set up a new User for your Customer Portal, you will need the customer's Name, Email address and the Receivable account to link them to.
- Go to Settings > User or Administration > Users.
- Click New User.
- Code: Add a Code for the User. (A good way to do this is firstname.lastname; e.g. JOHN.SMITH.)
- First name: Enter their First name.
- Last name: Enter their Last name.
- Click Save.
This will then create a new User and take you to the User Details screen.
- Email address: Enter the person's Email address.

CRM Person: Select their CRM Person code from the dropdown list.
TIP: If you haven't already created the CRM Person record, you can add it here by clicking the Plus icon on the right of the field, or you can edit it by clicking the Edit icon

Allow The User Access To The Customer Portal
- Click the Mobile and Portal Access tab on the top right of this window.
IMPORTANT: Please make sure you do not accidentally click the Staff tab as this will start setting up the CRM person as Staff.
- Receivable account: Select the Receivable account to link this User to.
- CRM Person: Select the CRM Person to link this User to. (This field will be pre-populated if you have entered this on the Details screen.
- Tick the areas that you wish to allow access for this User.
- Restrict online Orders visibility to only show my own: Check this field if you wish the User to see only their own orders (i.e. orders they have personally made as opposed to orders made by other people at the same company). This will make it easier for the User to find the orders they need without searching through everyone else's orders. You might wish to leave this field unchecked if this User is a manager so they can view all orders for their account.
- Click Save and close.
- Once set up, advise your Customer to go to your normal Lentune log in screen (e.g. mycompany.lentune.com) and click the Forgot Password link on the log in screen.
This will allow them to set their password.
The From Address for Return Emails
When a User on the Customer Portal sends out invoices, e.g. to their own customers, the From address that is used comes from the User’s email address.
If the User does not have an email address set up, it falls back to the Entity email address associated with that User account.
If that entity doesn’t have an email address, then it falls back to the address in the email manager.
Therefore, it is usual to add either the User's email address or the email address for the Entity associated with the Receivable Account, so any emails have a valid return email address.
Security Roles for Portal User
When you have checked the modules/areas in the Module and Portal Access screen that you wish to allow the User to access, the necessary Security Roles will automatically be assigned to them.
Also, if you remove access to an area, the Security Role for that area will be removed.
Therefore, you do not need to manually assign any Security Roles to the User for Portal access.
