Use Tags to select People or Entities by various selection criteria to use for mail outs and client communications.
Search and Export People by Tag
Introduction
Using tags is a way of tagging People or Accounts so you can segment and search your contacts.
Example tags might be:
Accounts and Entities:
- Your top 100 customers.
- Where you give customers rebates or reward points.
- Industries that your customers are in.
People:
- People's role in the business, e.g. Director, Accounts.
- Interests, e.g. Fishing Trips.
You can then search and obtain a list of people according to role or interest, that you can use for emails or mail merge letters for client communications, marketing or customer public relations newsletters.
Add a New Custom Tag
- Go to CRM > Custom Tags.
- Click New custom tag.
In the Create New Custom Tag screen:
- Add a Description for the new tag.
- Select a Type from the dropdown list. Types are non-user definable and might be:
- Person. Tags of this Type can be attached to a Person.
- Entity. Tags of this Type can be attached to an Entity.
- Documents.
- Click Confirm.
This takes you to the Details screen.
- Here you can Save the new details.
You can also add the new Tag to a Person or Entity, depending on the Type that you allocated to this new Tag in the Quick add custom tag section.
Quick add Custom Tag
Once you have created a new Custom Tag and clicked Confirm, you are taken to the Details screen where you can use the Quick Add custom tag to add the Tag to a Person or an Entity/Account, depending on the Type of this Tag.
- Select the Person (or Entity) from the dropdown list.
- Click Add Tag to Person (Entity).
- Click Save and close.
Add a Tag to a Person
- Go to CRM > People and select the Person required.
- In the Custom Tags section, select the Custom tag from the dropdown list that you wish to assign to the person .
- Click Add tag.
Tags that have been attached to the Person will be displayed below in this section.
- Click Save and Close.
Add a Tag to an Entity
- Go to CRM > Entities and select the Entity required.
- In the Custom Tags section, select the Custom tag from the dropdown list that you wish to assign to the Entity .
- Click Add tag.
Tags that have been attached to the Entity will be displayed below in this section.
- Click Save and Close.
Search and Export People by Tag
You can search for People by various tags to select people that you may wish to send some specific communication to.
- Go to CRM > People.
- Click Advanced search.
- Select the various People tags and Account tags, and any other selection criteria that you want. See below how to select multiple tags for this field using the More selection.
- You can now click Import / Export / Consolidate and select Export (selection) to export a list of People that match the selection criteria.
This will export an .xlxs spreadsheet that you can now use for a mail merge, or to edit and reimport.
OR:
- Click Search to return a list in the display below for the selections you have made.
Multiple Tag Selections for People or Accounts
You can select multiple items for fields for People Tags and Account Tags, where the field has the More icon showing above it.
- Click the More icon to bring up the selection screen.
- Search for the first Tag that you want.
- Click Add.
The Tag will now appear in the Selected items list below.
- Select the next Tag that you wish to Add.
When you have added all the Tags that you want:
- Click X to close the window.
The selections will also display in the People tag field.
Similarly, you can select multiple criteria for Account Tags.
Search and Export Entities by Tag
You can search for Entities by various tags to select Entities that you may wish to send some communication to.
- Go to CRM > Entities.
- Click Advanced search.
- Select the various Entity / Account tags, and any other selection criteria that you want. See above how to select multiple tags for this field using the More selection.
- You can now click Import / Export / Consolidate and select Export (selection) to export a list of People that match the selection criteria.
This will export an .xlxs spreadsheet that you can now use for a mail merge or to edit and reimport.

- Click Search to return a list in the display below for the selections you have made.
