This routine allows you to easily set up a range of pricing agreements for a new Receivables Customer, by copying pricing agreements from another similar customer, or to update Receivable Contracts for an existing customer.
Export Receivable contracts from an existing Receivables account
Introduction
The export and import routines allow you to take the Receivable contracts from one Receivable account (customer) and copy them to another Receivables account (customer). This can be useful when you have a new Receivables account and you wish to add Receivable contracts for them.
You can also use the export / import Receivable contracts routines to update the existing contracts for a particular Stock group, Discount Group of Receivable account if these details have changed.
If required, you can export a blank template file to update and use this to import new Receivable Contracts.
Export Receivable contracts from an existing Receivable account
- Start at Receivables > Receivable Contracts.
- Click Import and / or Export Contracts.
This brings up the Import / Export Receivable Contract Details screen.
In the Export section:
- Select a Receivable account customer to export from, if you want to copy contracts from one Receivable customer to another. Alternatively, select options for the Receivable Contract Group, Client, Discount Group, Stock Group that you wish to update. You can select multiple selection criteria.
- Click Export receivable contracts to file.
| Note: If you want to create a blank template file, you can do this by leaving your selection fields empty and clicking Export blank (template) file. |
This will create a file called ReceivableContract.xlxs in your downloads folder.
- Locate and open the file in excel, and click Enable editing.
Now you can amend the file to change the columns below to refer to the new customer, or details that you wish to update.
a. If you are importing this file for a new customer, then remove all data from ReceivableContractOid (Column A). If you are re-importing to the same customer, then leave this column as is.
b. Amend the Receivable Account Code (Column C) to be the customer code for the new customer. This will then be able to be imported to that specific Receivable Account.
c. Amend the Receivable Account Description (Column D) to be the customer description for the new customer.
a. Amend the Contract Ref (Column F) to remove any references for the originating customer. You can leave this column blank unless you have data to enter.
- Save your changes.
Next, we want to import this data to the new Receivable account customer, or back to the same customer, as appropriate.
Import Receivable contracts to the new Receivable Account
- Go back to the Import / Export Receivable Contract Details screen.
- In the Import section on the right of the dialog, drag the file you want to import into the Drag file here box or click on the box to browse and locate your file.
- Click Upload receivable contract from file.
Now the new Receivable account customer will have these imported pricing agreements, or the changes you have made will be imported.
View Results
This process also creates a new file called ImportReceivableContractResult.xlxs. Examine this file to see any errors or omissions in the data that has been imported. This will be displayed in the Result (Column S).
